Information About the Event


HOTEL RESERVATIONS

The InfoWorld team has negotiated a discounted hotel rate for your stay at the Millennium Broadway Hotel. Hotel accommodations and rates are based upon availability and are valid until April 21, 2008, at which time they are subject to change.

Room Rate: $389.00 per night Single or Double Occupancy

To Book by Phone: Please contact the Reservations Department at (212) 768-4400 or 1-800-622-5569. The hours of operations are: Monday through Friday, 8:00 a.m. - 8:00 p.m., Saturday and Sunday, 9:00 a.m. - 5:00 p.m. Please be sure to reference the Tri-State CIO Forum to secure the discounted rate.

A credit card number is required at the time of reserving your room. Hotel rates are subject to applicable state, city and occupancy taxes. Cancellations should be made 24 hours before the arrival date or before 4:00 p.m. prior to the day of arrival.

Lastly, you can also "X" the "Hotel Reservation" field on the staff registration form and return to eventoperations@infoworld.com by Thursday, April 24, 2008.


STAFF REGISTRATION

Each sponsor will be given an allotment of passes to use to attend the event, per level of sponsorship. Please note, additional passes may not be purchased outside of the sponsorship and admittance is limited to business professionals working in technology that meet specific criteria. Sponsors may not use their passes to invite vendors from non-sponsoring companies.

You can register representatives from your company by completing the sponsor staff registration form and returning to eventoperations@infoworld.com.


VIP GUEST REGISTRATION

As part of your participation in the Tri-State CIO Forum on May 7, 2008, if you have specific customers, guests or prospects that meet the registration criteria, they may be eligible to attend.

Attendance is by invitation only, and all applications will be reviewed and approved by the program organizers. In order to meet the qualifying standards for attending this program, applicants must hold a current senior IT executive title or function (including CIOs, VPs of IT, and direct reports) from general business industries and government/educational institutions that meets specific budgetary criteria.

Please note, registration requests from analysts, venture capitalists, sales/marketing/business development, consultants and non-sponsoring vendor companies do not meet qualifying criteria for this program.

The event organizers reserve the right to deny enrollment to anyone who does not meet the qualifying criteria.

Requests from SIM members will be honored based on confirmation/verification.

SPONSOR CHECK-IN & SETUP

You can check in and begin setup Wednesday, May 7th at 7:00 a.m. the morning of the conference. Sponsor staff badges will be available at the registration counter located in the lobby of the Hudson Theater (1st floor). Your kiosk is also located in the Kiosk Gallery in the lobby of the Hudson Theater (1st floor). If you have shipped any items to yourself, please be sure to bring them with you in order to setup. Kiosk area should be clean of all boxes, if your boxes still have items in them, they can also be stored with the hotel or in your lockable storage area in the kiosk. DETAILED KIOSK GALLERY SPECS

All kiosk stations come with complimentary power. Additionally, wireless internet access will be available at the event. If you require additional services (e.g. additional power, wired internet connection), please order directly with the hotel using the Millennium order form and credit card authorization form found here.

We will be giving each sponsor the opportunity to design their own kiosk header graphic panel. Please see the attached kiosk rendering as well as the graphic submission guide. The graphic panel dimensions are 32.5"w x 32"h. If you would like to have your designer create a header with your corporate look and feel, please send the file by April 18, 2008 to eventoperations@infoworld.com. Other suggestions would be to use your company logo with a tagline. If we do not receive anything from your company, we will default to using your company logo.

Please note signage specific to your booth (other than the header) is not permitted as there is limited space. The kiosk counter top is large enough for a laptop and some literature.

NETWORKING BREAKS (Food & Beverage Services)

  • Executive Luncheon Guidelines – We will be offering each sponsor a dedicated table at the Executive Luncheon where they can network with attendees and have a focused conversation with attendees.
  • There will be ongoing break service in the Sponsor Networking Area, available for all sponsors and attendees of the event.
  • At the close of the first day of the conference, InfoWorld will host a cocktail reception. This is an ideal networking break for all sponsors and attendees, located in the kiosk areas.


LEAD RETRIEVAL

All sponsors will receive a complimentary Keychain Memory Scanner for attendance tracking. The small, battery-operated scanner is the easiest data capture device to use and requires almost no training. Batteries last for more than 10,000 scans and data is stored into nonvolatile memory. Unlike larger, heavier scanners, this scanner weighs only 2.7 ounces. It is attached to a Lanyard with a retractable reel worn by the session attendant.

These units will be passed out to sponsors on the morning of the event and at that time your staff will be trained. Please return units within one hour of the close of the event. Lost or damaged units will be charged a replacement fee of $300. Please fill out the attached form prior to the event and return to eventoperations@infoworld.com or fax to 978-667-4433 no later than April 25, 2008.
